“We manage inventory across five Australian locations, all set up in Wiise. Previously, we had no visibility on inventory or tracking for daily or weekly movements. Wiise now provides that visibility.”
The problem
When Colin bought RWB Marine, the business was operating on an almost thirty-year-old custom-built system.
The original developer had passed, and no one was able to maintain the system, posing a major risk to the business.
“The old system really, I think is a testament to the old owners that they survived as long as they did with that. But the day I bought this organization was the day I realized that that was my biggest risk in the company”. – Colin Moran, CEO, RWB Marine
With no system backups, no e-commerce integration, and 5,000 SKUs across five warehouses, the business desperately needed a new system.
Challenges
Restricted access: The legacy system could only be accessed in the office, preventing the sales team from accessing information on the road, and forcing the broader team to work in the office.
No visibility of inventory: With nine full-time sales reps, and five warehouses, managing inventory, stock transfers and movements was and incredibly difficult. The team had no visibility of what was in each state or what was moving on a daily or weekly basis.
Inadequate reporting: Accurately tracking margin was increasingly challenging. Landed unit cost calculations took hours per shipment and was a guesstimate at best. Sales reporting was only only available at the end of the month, making it incredibly difficult and frustrating to manage.
Manual processes: Shipments were entered manually item by item to calculate landed costs, sales territory reports took hours to crunch, invoices had to be printed and attached to shipments (instead of emailed) and each order was entered manually. The old system was an obstacle rather than a facilitator of good business.
The solution
Wiise has transformed RWB Marine’s operations. Colin and the team now have:
- Accurate Inventory Management: The team can see accurate inventory levels across all warehouse locations in real time, allowing them to commit to customer orders, move inventory to where it’s needed and improve fulfilment times.
- Efficient Order Processing:Customers can now order goods online, salespeople can see stock availability while on the road, and warehouse staff can turnaround orders far quicker with fewer errors.
- Real-time Reporting: The team can generate reports in real-time, allowing them to track sales and fulfilment performance on a daily basis, and maintain margins to maximise profitability.
The Difference
Before Wiise
- Clunky, slow and outdated system severely restricted the business and posed major security and operational risks.
- Inability to integrate with online sales, took up valuable time from salespeople
- No ability to access outside of the office.
- Manual processes led to slow order turnarounds, inconsistent reports, high costs, and inefficiency.
- Poor confidence in reports and numbers, with inconsistencies in figures, changing from one day to the next.
With Wiise
- Instant access to orders, stock availability, margin, pricing and more.
- Integrated online sales, with the ability to upload price lists and change product images in seconds, saving days of work
- Accurate, reliable information across the entire business, instantly, from anywhere, 24/7
- Automatically calculated landed costs, saving a day each week
- Streamlined payroll, BAS and finance reporting, saving hours each day
The payoff
Significant time savings
The team have saved four days per month on landed cost calculations and cut invoice data admin by 20%, allowing the finance team to focus on more strategic tasks.
